Do I have to provide any insurance coverage for the event?

Yes.  Event liability insurance is required for the entire period you and your guests will be on HayLoft premises. Proof of insurance will be due 90 calendar days before your scheduled event.  Ask the HayLoft for the special event insurance details (www.theeventhelper.com).  They have set up a special link for you to use. It is easy and affordable.

Where are you located?

Our street address is 11736 Big Tree Road (Route 20A), East Aurora, NY 14052. We are physically located in the Town of Wales – 5 miles east of East Aurora off Route 400.

Do we need to sign a contract?

Yes.  A Barn Rental Agreement (contract) is required. We will send that to you as soon as we receive your Rental Fee Deposit.

How many restrooms do you have on site?

We have a large luxury restroom trailer that can accommodate up to 11 guests at the same time.  It is heated and air conditioned.

Men’s and Ladies rooms have double vanities with vessel sinks and oil rubbed bronze faucets, soap/hand sanitizer, toiletry box and paper products.  

Men’s room has 2 sit-down stalls and 3 urinals. Ladies room has 5 private stalls with real wooden doors.

Family restroom with ADA ramp and grab bars for ease of access. It is equipped with wheelchair accessible sink, soap/hand sanitizer, paper products and baby changing table.  

A restroom attendant will be on site during your entire event. Throughout the day they will ensure that the restrooms are neat, clean, paper products are full and trash receptacles are emptied.

What event activities do you offer?

A favorite activity that guests love is our famous hay wagon ride. It takes you and your guests around the many acres of the property.  Hold on and enjoy the ride!

We provide horseshoes and cornhole that are lots of fun, but you can certainly bring your own yard games too.  The more games to enjoy…the more fun for your guests.

Do you offer planning or coordination services?

Yes. They are included in the Filly and Heifer wedding packages. Come take a seat in our inspiration boutique and share with us your ideas. We can help you bring them to life. With three planning sessions we will help you plan out your ideas and bring them to life. We are on site the whole day to coordinate and run your event so you can enjoy the fun filled day.

What is your reservation and cancellation policy?  

A Rental Fee Deposit of $500 is due at the time of booking. This fee converts to your security deposit on the day of your event.

HayLoft will send you a contract for you to sign/date. A non-refundable 50% rental facility deposit within ten (10) calendar days from your receipt of the Barn Agreement is required. Ask us about an optional payment plan (some restrictions apply).

Prices are subject to change until the signed Barn Agreement is accepted by HayLoft.

If HayLoft has not received the 50% rental facility deposit and the signed Barn Agreement within ten (10) calendar days, the hold will be released, and the $500 Rental Fee Deposit will be non-refundable.  

The balance is due and payable in full 120 days prior to the Event.  Cancellations are non-refundable.

What forms of payment do you accept?

We accept Cash, Check or Venmo.  

Is smoking allowed on the property?

Smoking is not allowed on the property except only at the Smoke Shack. Please look for the signs. We ask that you kindly respect the non-smoking guests and our venue’s policy.

What type of events can be held at the HayLoft?

The HayLoft is a destination venue that can support many events from customized ceremonies, wedding receptions, anniversary parties, showers (bridal & baby), corporate events, fundraisers, retirement parties, family reunions, celebration of life gatherings, and so much more.

What should I wear to a HayLoft wedding?  

Weddings styles vary from dressy casual to tuxes these days, so check with the Bride & Groom for their desired dress code.

We are an indoor and outdoor venue.  We'd love you to enjoy and explore the grounds, so make sure you wear safe shoes! We don't recommend stilettos or shoes that are difficult to walk in on gravel and grass.

Make sure to bring a sweater or jacket in Spring and Fall as the evenings can get chilly on our outside patios, but we promise we'll keep the inside of the barn nice and warm.

Do you have heat or air conditioning in the barn?

We have both. On those hot/humid days we have the air conditioning in the Cellar. For those nice days we keep the large barn doors open for a cool cross breeze. We also have a HUGE 18’ ceiling fan along with (4) wall mounted oscillating fans and exhaust fans to push the warm air out of the barn. There are propane heaters on both levels to keep you warm and cozy on a cool fall day.
